How to Answer Client DMs Without Being Online 24/7
Fast replies are part of why clients choose you. But answering every DM yourself means your phone is never off, your evenings disappear, and the messages that really need you get buried under ones that don't. This guide shows how coaches can answer clients quickly without living in their inbox.
1. Sort your DMs into three kinds
Look back at a week of messages. Almost every DM a coach gets falls into one of three groups:
- Repeat questions. Where is the replay? How do I do step three? What time is the call? The answer already exists somewhere.
- Personal messages. A client is struggling, has a sensitive situation, or wants your judgment on their specific case.
- Sales conversations. A prospect asking about your program, or a client asking what comes next.
Only the second group truly needs you, right now. The first can be answered without you, and the third needs a fast, informed reply that you can then pick up.
2. Set clear expectations for when you reply
Clients don't need instant replies from you; they need to know when they'll hear back. Tell them in your onboarding and in your bio: for example, that you personally reply to messages on weekdays within one business day, and where to find answers to common questions in the meantime.
Clear expectations turn "why hasn't my coach replied?" into a non-issue, and give you permission to close the app at night.
3. Write down your answers to repeat questions
Every repeat question you answer by hand is an answer you've already written. Collect them in one place: a FAQ doc, a pinned post, or a "start here" lesson in your course. Include links to the exact module or replay each answer points to.
This alone helps, because you can paste answers instead of retyping them. It's also the material an AI assistant needs to answer for you.
4. Saved replies vs. an AI assistant
There are two ways to answer repeat DMs without typing each one:
- Saved replies and auto-responders. Most platforms let you save message templates or send an automatic first reply. They're simple and free, but you still have to pick the right reply, and they can't handle a question phrased a new way.
- An AI assistant trained on your material. It reads the actual question and answers from your own courses, posts and call notes, in your voice, at any hour. It handles variations of the same question without you writing a template for each.
Saved replies are a good first step. An AI assistant is what removes DMs from your day.
5. Make sure personal messages always reach you
The biggest risk with any DM automation is a client in a hard moment getting a canned reply. Decide in advance what must always come to you, such as anything emotional, a complaint, a refund, or a question about their personal situation, and make sure your setup hands those straight over.
Done well, clients get faster answers to simple questions, and more of your attention on the messages that matter.
6. Don't forget the sales DMs
Prospects asking about your program often message at night or on weekends, and a slow reply can lose the sale. A good setup answers their first questions straight away and tells you who to follow up with. The same goes for current clients asking what comes next: those messages are your best upgrade conversations.
What about Skool, Instagram and other platforms?
Where your DMs arrive changes what's possible. Instagram and Facebook offer saved replies and some automated messages. Skool has no built-in DM automation at all; see AI for Skool communities for what you can and can't automate there.
Community OS answers client DMs in your voice on the platforms you already use, including Skool, and passes anything personal to you. It's built and set up for you, as a one-time build rather than a subscription.
Where to start
- Sort last week's DMs into repeat, personal and sales.
- Write down your reply hours and tell your clients.
